Vendor Shipping Notifications

Automatically email customers their tracking numbers when drop-ship orders are shipped by Ingram Micro or TD Synnex.

When a drop-ship order is fulfilled by Ingram Micro or TD Synnex, Weevio Cloud can automatically send the customer a branded shipping notification email containing their tracking numbers and order details. This keeps customers informed without any manual effort.

How It Works

When a vendor ships a drop-ship order, Weevio Cloud:

  1. Detects the shipment from Ingram Micro or TD Synnex
  2. Verifies that all notification conditions are met (see When a Notification Is Sent)
  3. Sends the customer a branded email with clickable tracking numbers and a summary of the shipped items

Prerequisites

Before enabling shipping notifications, make sure the following are in place:

Note:

If SMTP is not configured, shipping notification emails cannot be sent. Contact Weevio support if you need help setting up SMTP.

Enabling Shipping Notifications

The feature is controlled by a toggle in Weevio Cloud under Integrations > Shopify > Vendor Settings.

Open Vendor Settings

In Weevio Cloud, navigate to Integrations > Shopify and scroll down to the Vendor Settings section.

Enable the Toggle

Under the Shipping Notifications heading, turn on the Enable automatic shipping notification emails toggle. Once enabled, additional configuration options appear.

Configure Options (Optional)

Two optional fields are available:

  • Test Email Override — Enter an email address to redirect all notifications to that address instead of customers. Useful for testing before going live. See Testing Before Going Live.
  • BCC Tracking Notifications — Enter one or more comma-separated email addresses that should receive a blind copy of every shipping notification. Useful for internal shipment tracking or compliance.

Done

Your changes are saved automatically. Customers will begin receiving tracking emails for new shipments.

Note:

The Shipping Notifications setting applies to all vendor integrations (Ingram Micro and TD Synnex) simultaneously. You do not need to enable it separately for each vendor.

Testing Before Going Live

Weevio Cloud provides two ways to test shipping notifications before customers receive them:

Test Email Override

When a Test Email Override address is set in Vendor Settings, all shipping notification emails are redirected to that address instead of the customer. The email subject line is prefixed with [TEST] so you can easily identify test emails in your inbox.

Note:

While a test email override is active, no customers will receive shipping notifications. Remove the override address when you are ready to go live.

Send Test Email

Click the Send Test Email button in the Shipping Notifications section of Vendor Settings. This sends a sample email with placeholder data (a fictional customer name, order number, and two sample tracking numbers) so you can preview exactly how the email will look with your branding.

If you have BCC addresses configured, they will also receive the test email.

When a Notification Is Sent

A tracking email is sent only when all of the following conditions are met:

Note:

Weevio Cloud automatically prevents duplicate notifications. If a tracking number has already been included in a previous notification for the same order, it will not be sent again. Only genuinely new tracking numbers trigger an email.

If any condition is not met, no email is sent and the order continues to be fulfilled normally without notification.

What the Email Contains

Each shipping notification email is branded with your organization's identity and includes the following:

Order identifiersDisplays applicable identifiers: Order # (Shopify reference number), Invoice # (PIMS order number), and Customer PO # (purchase order number)
FooterA closing message with your organization name

Note:

Pricing is intentionally not included in shipping notification emails to protect sensitive pricing information.

Supported Vendors

Ingram Micro

Ingram Micro notifies Weevio Cloud the moment a drop-ship order leaves their warehouse, and the customer notification is sent immediately.

TD Synnex

Weevio Cloud checks TD Synnex for new shipments once per hour. Once new tracking numbers are detected and written to PIMS, the customer notification is sent automatically.

Customer Experience

Customers receive a single email per shipment containing everything they need to track their order. Each tracking number in the email is a clickable link that opens a tracking search in a new tab. Customers do not need to log in to any portal.

Quantity Per Package

The Qty column in the shipment table shows the per-package quantity provided by the distributor. For example, if a customer orders 5 units and they ship in three packages (2, 2, and 1), each row displays the actual quantity in that package rather than the total order quantity. When distributor quantity data is not available, the system falls back to the total PIMS order line quantity.

Serial Numbers

When serial numbers are provided by the distributor, a Serial # column appears in the shipment table so customers can identify exactly which unit they received. For Apple products, the leading "S" prefix that Apple uses internally is automatically stripped so customers see their standard serial number format.

Tracking Disclaimer

The email includes a brief disclaimer noting that tracking information may take up to 24 hours to appear with the carrier. This sets expectations for customers who click the tracking link immediately after receiving the notification.

Multiple Shipments

When an order is fulfilled in multiple shipments — for example, some items ship immediately while others follow a few days later — customers receive a separate notification email for each shipment. Each email contains only the items and tracking numbers from that specific shipment, making it clear what was included in each package.

  • Multi-Source Inventory — Aggregate stock from Ingram Micro and TD Synnex for accurate availability on your storefront
  • Shipping Estimates — Show customers estimated delivery dates before they purchase
