Pending SROs V2: Scan-to-Receive

Receive repair devices quickly with barcode scanning, automatic SRO creation, customer verification, and equipment tag printing.

Pending SROs V2 introduces a streamlined scan-to-receive workflow for processing incoming repair devices. Scan serial numbers to automatically create SROs in PIMS, verify customers, and print equipment tags — all from a single screen.

Note:

This feature is in Early Access. To enable it, go to Settings → General Settings → Early Access and toggle on "Pending SROs V2 (Scan-to-Receive Workflow)". A page refresh is required after enabling.

Batch List

The main view displays all pending repair batches in a sortable, paginated table.

Each batch shows:

  • Confirmation number
  • Customer name (with a verification badge if confirmed in PIMS)
  • Company name, email, and phone
  • Submission date
  • Device count
  • Progress indicator showing how many devices have been received

Filtering:

  • Active tab — batches awaiting processing (default view)
  • Canceled tab — batches that have been canceled (can be restored)

Click any batch row to open its detail view.

Receiving Devices

Step 1: Verify Customer

Before receiving devices, you must verify the customer in PIMS. This links all SROs created during the batch to the correct customer record.

Open Customer Verification

Click "Verify Customer" in the batch detail view. A modal opens with two tabs.

Find the Customer

  • Matching Records — Shows customers that automatically match the batch's contact information
  • Search Customers — Search PIMS manually by name or customer code

Confirm Selection

Select the correct customer and click Confirm. You can change the verified customer later if needed (only before any devices are received).

Step 2: Configure Scan Settings

Before scanning, configure your preferences:

  • SRO Status — Select the default status for newly created SROs from the dropdown. Click "Save as Default" to remember your choice for future sessions.
  • Auto-Print — Toggle on to automatically print an equipment tag after each successful scan.

Step 3: Scan Devices

Scan or Type Serial Number

Place your cursor in the scan input field (it auto-focuses for continuous scanning). Scan a barcode or type a serial number and press Enter or Tab.

Review Feedback

Each scan produces immediate feedback:

  • Success — Shows the generated SRO number. The device moves to "Received" status in the table.
  • Duplicate Warning — Alerts you if an open SRO already exists for this serial. You can choose to force-create a new SRO if needed.
  • Error — Displays the error message. The scan input resets for the next attempt.

Continue Scanning

The input field clears and refocuses automatically after each scan, allowing rapid batch processing without clicking.

Recent Activity Feed

A scrollable log on the right side of the scan panel shows your last 20 scan results in real time. Each entry displays:

  • Serial number and assigned SRO number
  • Device type
  • Relative timestamp ("just now", "2 min ago")
  • Success or error indicator

Device Table

The batch detail view includes a table of all devices with their current status:

Table features:

  • Inline serial editing — Edit serial numbers directly in the table before a device is received
  • SRO links — Click any SRO number to open its detail page in PIMS
  • Print tags — Reprint equipment tags for any received device
  • Expandable rows — View additional details like passwords, repair notes, and symptom descriptions
  • Visual feedback — Recently received devices flash green briefly for confirmation

Devices are sorted by status: pending devices appear first, then received, then canceled.

Equipment Tags

Equipment tags can be printed for each received device. Tags display:

  • SRO number
  • Serial number
  • Customer name
  • Device type
  • Date received

Printing options:

  • Auto-print — Enable the toggle in the scan panel to print automatically after each successful scan
  • Manual print — Click the print icon next to any received device in the table

Batch Management

  • Cancel a batch — Click the cancel icon (red X) on the batch list. Canceled batches move to the "Canceled" tab.
  • Restore a batch — Open the "Canceled" tab and restore any previously canceled batch.
  • Progress tracking — Summary chips at the top of the batch detail show pending and received device counts, updating in real time as you scan.
